Canva tutorial for beginners: make a VA portfolio from scratch

How to use Canva for VA and social media work: make a post, a Story and a flyer on the free plan, download the right file, and share a portfolio link.

Job posts for social media and VA work keep asking for Canva. On 7 October 2026, 3 of the 31 open listings on DayShift named it, all of them social media or content roles. If you've never opened it, start here.

You'll make three things a client would pay for: a social media post, a Story and a flyer. Then you'll put them in one link you can send with every application. The free plan covers each step unless it says otherwise. Button names come from Canva's Help Center, read on 7 October 2026, so if one has moved, search the Help Center for its name.

Start with the free plan and a template

Sign up for a free account at canva.com. It runs in a web browser, and there are Canva apps for iPhone, iPad and Android. A laptop is easier for your first designs, because you can see the menus and the design at the same time.

When you open a design, you'll see three areas:

Make your first social media post in 6 steps

Pick a pretend client, like a milk tea shop or a dental clinic near you, and make a post for them.

  1. On the homepage, type "Instagram post" in the search bar and press Enter. Select Templates above the search bar to see only templates.
  2. Select a template you like, then select Customize this template to open it in the editor.
  3. Double-click a text box and type your own words. Use the toolbar to change the font, size and color.
  4. To swap a photo, select it and choose Replace in the toolbar, then pick an image from Uploads or Photos.
  5. To add the client's logo, open Uploads in the side panel, select Upload files, then click the file to add it to your design.
  6. To change the color of a shape or background, select it and use the Color tile in the toolbar.

Photos and graphics with a crown icon are premium. On the free plan, Canva asks you to buy a license, upgrade, or download a watermarked draft before you can download a design that uses them, so pick ones without the crown.

Turn one post into a post and a Story

Clients often want the same message in more than one size. On the free plan, start a new design at Story size by searching "Instagram Story" on the homepage. Copy the text and graphics from your post with Ctrl + C, paste them with Ctrl + V (Cmd on a Mac), and move them to fit the tall frame.

On a paid plan, Resize does this for you: select Resize in the editor menu bar, pick the sizes you want, then select Copy & resize. Canva's help page lists Magic Resize on its paid, education and nonprofit plans, not on Canva Free.

Make a simple flyer from a template

Your third piece is a one-page flyer or price list for the same pretend client. Search "flyer" on the homepage, pick a template, and follow the same steps as the post. Stick to two fonts and the client's colors, and leave space around the text so it still reads on a phone screen.

Download the file type each job needs

Go to Share, then Download, and pick the file type for the job:

A PNG with a transparent background, such as a logo with no white box behind it, needs a paid plan. On Canva Free, your PNG keeps its background.

How to make a VA portfolio in Canva with no experience

A portfolio can start with practice pieces, as long as you label them as samples.

  1. Make a new presentation and give each design its own page: the post, the Story, the flyer, and anything else you add.
  2. Add a short line to each page saying what it is, like "Sample post for a milk tea shop, made in Canva." Never call a practice piece client work.
  3. Add a first page with your name, the work you do, and how to reach you.
  4. Select Share. Under Access level, choose Anyone with the link, set it to can view, then select Copy link.
  5. Paste the link into your resume and your applications. Our VA resume template has a line for it.

Every design starts as Only you can access, so open your link in a private browser window to check it works before you send it.

When a client wants to review a draft later, share it the same way with can comment. Canva's help page says anyone with a comment link can read the comments without logging in, but they need to log in or sign up to reply or add their own.

Free or Pro: what you need to start

Every step above works on Canva Free. You'd only need a paid plan for the tools listed below. Canva Free users can upgrade at any time to Pro, which Canva describes as made for solo creators, or Business, made for teams. The free trial is available once per account and once per payment method.

Magic Write, Canva's AI writing tool, works on the free plan too, but on Canva Free it draws from a small monthly AI allowance shared with Canva's other AI tools.

Is Canva free?

Yes. Canva Free costs nothing and covers templates, editing, downloads and sharing. Pro and Business are paid plans that add tools like Magic Resize and Background Remover, and the free trial is available once per account.

Can I use Canva on my phone?

Yes. There are Canva apps for iPhone, iPad and Android, and it also runs in a mobile browser. A laptop is easier while you learn.

Do I need Canva Pro to get a VA or social media job?

Not to apply. A portfolio made on the free plan shows the skill. If the work needs Pro tools, ask the client how they'd like to handle it before you start.

Can a client edit my design without a Canva account?

Yes, if you share it with Anyone with the link and set it to can edit. Canva calls these people guests. They can't comment until they log in, and they can't download the design or make a copy.
